Privacy Policy

Last updated: [DATE]. This is a draft pending legal review before Service Tracker opens to the public. The Service is operated by Service Tracker Hoos Quarters ("we," "us"), the controller of the data described below.

1. Information We Collect

Account information (name, email, phone) for company staff and, if enabled, customer-portal users; job and scheduling data entered by your Company; timeclock records, including GPS location at clock-in/clock-out when the GPS Timeclock feature is used; inventory, purchase order, and invoicing records; and, for online payments, transaction metadata (full card details are handled directly by Stripe and never touch our servers).

2. Location Data Specifically

GPS location is recorded only at the moment an employee clocks in or out, or (in strict-geofence mode, if your Company enables it) to verify proximity to a job site. We do not continuously track employee location outside of clock events. Your Company’s administrator controls whether GPS is optional or required.

3. How We Use Information

To operate the Service (scheduling, timeclock, invoicing, the customer portal), to provide customer support, and to maintain the security and integrity of the platform. We do not sell Customer Data.

4. Sub-Processors

We use Amazon Web Services to host all data, Stripe to process online card payments, and Gusto to power optional payroll integration. Each of these providers processes data only as necessary to provide their service to us.

5. Data Retention

We retain Customer Data for as long as your Company’s account is active, and for a limited period after termination to allow for data export, after which it is deleted.

6. Customer Portal Users

If your Company enables the customer portal, your customers may create accounts to view and approve their own job/invoice data. Customer-portal accounts only ever see data belonging to their own company relationship — never another customer’s or another tenant’s data.

7. Cookies and Sessions

We use session cookies/tokens solely to keep you signed in — not for advertising or cross-site tracking.

8. Data Security

Data is encrypted in transit and at rest. Access within Service Tracker is limited to what’s needed to operate and support the Service.

9. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting privacy@servicetrackerhq.com, subject to our legitimate need to retain certain records (e.g. financial/payroll records) as required by law.

10. Children’s Privacy

The Service is intended for business use by adults and is not directed at children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced with reasonable advance notice.
